Introduction
Normal office opening hours are 9.00 a.m. to 5.30 p.m. Monday, Tuesday and Wednesday and 9.00 a.m. to 5.00 p.m. Thursday and Friday.
It is essential for the successful operation of this scheme that appropriate levels of office cover are maintained throughout these periods; operation of the scheme is conditional upon this requirement and is the responsibility of each section head. The scheme is not intended to be used to accrue additional annual leave entitlements.
Rules of Operation
This scheme applies to non-academic members of staff. Academic and related staff members are covered by contractual conditions.
This scheme is designed for office based staff who work regular hours. It does not apply to staff who work shift or other irregular patterns of work or in areas where working hours are dictated by service provision.
Core hours to be 9.30 a.m. to 12.00 noon and 2.00 p.m. to 4.30 p.m. All staff will normally be in the office during these hours, subject to the discretion of section head for special circumstances (doctors appointments etc. - see below). Special arrangements may be approved by your senior manager.
Your working hours will not normally start earlier than 8.00 a.m. or finish any later than 6.00 p.m.
At least 30 minutes must be taken for a lunch break between the hours of 12.00 noon and 2.00 p.m.
It is permissible to carry a balance of up to +/- 8 hours from one calendar month to another. It is not permissible to carry a deficit forward for two consecutive calendar months.
Doctors, dentists and other appointments should, as far as possible, be made outside of core hours. Your section head must authorise absences which, exceptionally, fall within core time. Appointments which fall within core time (with appropriate authorisation) are expected to be made up.
Overtime working and payments must be authorised in advance by relevant senior manager.
Time-sheets must be completed daily and approved weekly by your section head. At the end of each calendar month it should be submitted to the relevant senior manger for approval and for collation by the Departmental Officer.
Time sheets must be completed in hours and minutes, rounding down to the nearest 15 minutes.
Any abuse of the scheme or fraudulent entries on the time sheets will be subject to disciplinary procedures.
Any staff who do not wish to take part in the scheme should make this known to their section head and work fixed office hours.
The scheme will be subject to review.
