There is a Small Ads feature built into Exchange. This page explains how to post small ads which can read by all University staff and research post graduates with Exchange accounts.

Small Ads

There is a Small Ads feature built into Microsoft Exchange which can be accessed by Outlook 2007.

All users should ensure that they have read the Acceptable Use Guidelines before using the facilty.

How To Access Small Ads

The Small Ads are located in 'Public Folders' in Outlook 2007 (and other versions of Outlook 200x). To access the Small Ads:

  1. open the 'Folder List' in Outlook (if you have a problem, follow: Locating 'Folder List').
  2. scroll the left-hand column down until you see 'Public folders'.
  3. click on the [+] next to 'Public Folder' to expand the list - see 'Favourites' and 'All Public Folders'.
  4. Note - in Outlook 2010 the boxed pluses [+] are right-pointing small triangles >.

  5. click on the [+] next to 'All Public Folders' - see about nine folders.
  6. click on the [+] next to 'General' - see five folders including 'Lu Text' and 'Small Ads'.
  7. click on 'Small Ads' - see small adds in the the central area where your email normally appears.

To view and (possibly) respond to a Small Ad:

  1. double click on a message and click on 'Reply' button if you are interested - the reply will go to the poster of the advert only.
  2. make your offer then click on the 'Send' button.
  3. if you wish to make your reply viewable by other users of Small Ads click on the 'Post Reply' button.
  4. add a 'subject', make your comment then click on the 'post' button.

To post an advert:

  1. click on the 'new' button on the left of the top toolbar - see 'untitled discussion'.
  2. type in a 'Subject' and a description in the body of the message.
  3. click on the 'Post' button* at the top-left of the message.

Locating Folder List 

If 'Public Folders/Small Ads' are not visible in the 'Mail' view in Outlook. To view Small Ads do the following:

  1. click on the 'Folder List' icon at the bottom-left of the Outlook screen*.
  2. scroll down to the bottom the left-hand-menu - see 'Public Folders' option.

Small Ads Acceptable Use Guidelines - May 2010 

Small Ads is a facility hosted by ISS through the Exchange email system. It may be used by University staff for private sales, wanted ads or for the advertisement of local events that may be of interest to other members of staff.

Small Ads is available for all University staff to use freely and is intended to run with minimal regulation and intervention. Its availability is dependent on the users of the system adopting a common-sense approach and staff are requested to adhere to these Guidelines to ensure the continuation of the Small Ads facility.

Users should therefore note:

  1. Small Ads must not be used for commercial activities or unsolicited advertisement of companies outside the University, as detailed in the Rules of the University: "Reasonable use of computer facilities for personal correspondence, where not connected with any commercial activity, is at present regarded as acceptable".
  2. When replying to a direct request for a recommended tradesman or service, such as "Does anyone know of a good local plumber", replies should be sent to the individual who posted the wanted advert (Reply), not to the Small Ads list (ie do not use Post Reply).
  3. Advertisements placed on the Small Ads system will remain visible for two weeks before being deleted. It is requested that staff placing advertisements only re-list items once the previous listing has expired.
  4. To keep the number of advertisements to a manageable level for people viewing them, staff with multiple items for sale should group all of their items in a single advertisement rather than post multiple adverts.
  5. All users are bound to adhere to English law in their use of Small Ads. Any items that are advertised on Small Ads should be the property of the individual placing the advert. The selling or trading of items should not breach copyright or any other trading restrictions. Responses to adverts placed on Small Ads should not endorse or encourage any breach of English law.
  6. Neither Lancaster University nor ISS have any involvement in, or responsibility for, sales and transactions resulting from advertisements on Small Ads, except where clearly stated. Respondents to advertisements should use appropriate diligence.
  7. ISS reserve the right to remove the Small Ads facility.

Should anyone have any complaints about the Small Ads facility or any advertisements placed, they should use the ISS Service Desk mail form or phone the ISS Service Desk on (01524 5) 10987. Listings that break these guidelines are likely to be removed and staff members who place such adverts may be considered to be in breach of University Rules.
